Linking Data for Effective Reporting

Session Description: Understand the purpose of and best practices for working with linking fields in the form designer.

Audience: Admins

The webinar focused on the purpose and best practices for using linking fields in Apricot forms. Linking fields allow users to establish relationships between records, such as connecting individual participant profiles to a household or linking service entries to program enrollment. This enables more robust reporting capabilities, as the software can then track which participants are part of the same family unit or which services were provided through a specific program. The presenter walked through examples of using linking fields to associate a participant's profile with an incoming referral form, as well as linking service entries to a program enrollment record.

Key best practices included ensuring consistent labeling of the linking field across forms, utilizing the "same folder linking" option to limit search results to only records within the current folder, and leveraging "wizard linking" to streamline data entry by automatically creating related records. The webinar emphasized the importance of thoroughly testing linking field configurations before publishing to avoid potential data entry errors. Attendees were encouraged to leverage Apricot's training resources and support if they encounter any issues or have additional questions about implementing linking fields.
