This webinar provides an overview of the site and program structure within Apricot. Sites allow organizations to separate data and reporting by location, which is particularly useful for larger multi-site operations. The presenter emphasized the importance of establishing a consistent naming convention for sites to facilitate easy identification and navigation. Within each site, programs enable further segmentation of data and workflows, such as grouping services by target population or differentiating between educational and employment-focused offerings. The presenter highlighted creative use cases for programs, including tracking alumni engagement or dividing services by geographic region.
The second half of the session focused on the mechanics of managing sites and programs. Attendees learned how to modify the name and details of an existing site, as well as the process for creating new sites and programs from scratch. The presenter cautioned that when building a new program, additional configuration is required to make forms, reports, and other functionality available, which is handled through the "permission sets" feature. She also demonstrated the ability to copy an existing program to a new site, streamlining the setup process for replicating similar offerings across locations. Participants were encouraged to leverage Apricot's training resources and support team if they encounter any challenges as they structure their site and program hierarchies.
