Using data driven storytelling to make the case for funding 

Securing funding for your organization can often be one of the most challenging parts of working for or running a nonprofit. And while your mission is key to compelling donors to support you, data driven storytelling is becoming even more important to securing funding. Grantmakers want you to quantify the impact you’re having in your community, and data is key to telling that story effectively.

Reframe how you think about data driven storytelling 

Before we talk about how to use your data, it’s important to reframe how you think about data. Consider the following:  

Data is your superpower: Data and storytelling go hand in hand because together they showcase what makes your nonprofit unique. There may be several nonprofits that support the same cause, but your impact data is what shows the community how your organization is moving the needle and why it’s worth supporting.  

Data is more than just numbers: When you think about data, your mind probably immediately goes to the number of participants served and the number of programs you provide, but it’s much more than that. Data driven storytelling can include testimonials from program participants, staff insights, donor feedback, and more.  

Data makes your story stronger: Your nonprofit does incredible things for your community — use data visualization and storytelling to bring your impact to life. Funders appreciate seeing not only the numbers behind your mission, but the people you have impacted. Use your data and storytelling to make authentic, emotional connections with funders.  

3 core principles of data driven storytelling 

As you start your data driven storytelling journey, there are three key principles you should keep in mind to make the most of this process:  

  1. Think broadly about data: Consider the different types of data you have at your disposal. Collect both quantitative (numbers, stats, etc.) and qualitative (narratives) to support your data driven storytelling. Quantitative data can be gathered using technology like case management software, which keeps track of all the data points related to each participant and program. Qualitative data can come from clients, staff, volunteers, board members, and donors. Talk to your constituents and use their input to power this process.  
  1. Know your value: Take the time to understand what your organization does that is unique or better than others. Once you have identified this “secret sauce” focus on collecting data and feedback that supports that story.   
  1. Understand your audience: To make the most of your data and storytelling, you need to understand the audience you’re speaking to. Take the time to get to know your funders’ and donors’ priorities and build that into your story. And don’t just stop there — engage with funders regularly, not just when you’re requesting funding. This will allow them to really understand your organization and the impact you’re having in your community.

Tips and tricks for implementing the SAP model 

Consistency is key for data driven storytelling and utilizing the SAP model. As you start to implement the model, keep these tips in mind:  

  • Collect stories and quotes from participants, donors, and staff routinely through surveys, interviews, focus groups, etc.  
  • Utilize your case management platform to conduct post-service follow ups with participants to learn more about their experience and gather feedback.  
  • Use the reporting tools in your case management software to create graphs and other visuals to support data visualization and storytelling.  
  • Share consistent messaging about your impact across all communication channels.
